What Exactly Does a Town Coordinator Do? 

Here is a quick checklist and breakdown of what is required of coordinators: 

Reserve Fields: 

  • Reserve fields in the respective town’s park. This means collaborating and working with the County of Hawaii’s Parks & Recreation Divisions, Recreation Director in the town. AYSO is insured by utilizing the County parks as their main fields. We cannot just use any field. 
  • Field Reservation includes: Reserving fields for practices during the week. Assuring each age group has enough space and time to practice. 
  • Reserve fields for games on Saturdays for the duration of the season. Normally, we reserve every Saturday for a few months and then let the Recreation Director know which Saturdays we will not need once we get the schedule finalized. 

Coordinate/Recruit Coaches and Team Parents: 

  • The games cannot be played without coaches. Once there are coach volunteers teams can be created. Coaches also will need the support of a team parent to hep organize and communicate with the players and players families. 
  • It is the role of each Town Coordinator to communicate clearly to all coaches all pertinent information and changes throughout the season. 

Create teams: 

  • Teams are created in the AYSO Sports Connect System. Teams must also be created following AYSO philosophies of creating equal teams and allowing for every player to paly. 
  • Coordinators will create rosters through Sports Connect which will include players names, and contact information. The rosters will then be distributed to each coach. Coaches will inform the Town Coordinators of any players that decide not to play so another player, if any on the waitlist may be added to the team. 
  • Coordinators need to also communicate these changes with our Registrar.

Uniforms: 

  • Coordinators will distribute uniforms and equipment to coaches for the season. 

Coordinate Field Crews: 

  • We cannot play soccer in our towns if we do not have the proper equipment or a crew to do the lining of all of the fields in compliance with AYSO regulations. The dimensions of each field can be found in AYSOU’s library of resources. 
  • Coordinators will communicate with Field Crews the appropriate times to set up and break down the fields, and agree to a proper storage area for all goals, flags, cones, balls, etc.  

Work with the Referee Coordinator: 

  • We need Refs! We must have Refs! The Town Coordinator should be working directly with the Referee Coordinator to have Referees at each game in which a Referee is required (U10 and up). 
  • We have not been lucky enough to have referees or a Ref Coordinator and thus the role has fallen on to the Town Coordinators or Coaches to Ref, but this is not at all ideal.

Assist with Scheduling: 

  • Coordinators should also be in communication to create a schedule that will encompass all teams and all towns in the 403 region. 
  • When schedules are finalized, Coordinators are to communicate and share the schedule with all coaches. 

Other Roles: 

Coordinators are the liaison in their town that will communicate, direct, and manage any and all situations that may arise. 

We must work closely and collaboratively with our town partners, fellow Town Coordinators, and board members to make the season successful.
